For Host School Sites
Information for host school site supervisors and staff
General Information
Time Commitment: WS Tutors are required to work at least 6 and up to 19 hours / week tutoring on campus, with most working 10-12 hours each week. Each tutor should be on campus at least 2x / week. Any shifts greater than 5 hours require at least a 30 min break.
Length of Service: WS tutors are committed to working on your school campus for at least 2 academic quarters (October – March, January – June) or the full academic year (October – June). Length of service is dependent on a student’s work-study award and their available schedule. Please see more about this under “Payment”.
School Assignments: When you submit your positions, we will ask about your tutor preferences, including schedule, subjects, and languages known. These are all then shared with tutors to help inform them about the schools and positions available. Tutors will self-select their positions /school placement. These self-selected positions are not final until the school partner confirms with program staff that the placement is a good fit. If they are not a good fit, then program staff may move the tutor to another school.
Onboarding: All WS tutors complete a background check through A-check Global, training on working with youth (including safe interactions and suspected child abuse & neglect), and basic trainings on tutoring practices.
Payment: WS tutors are paid through the UW HR system with their federal work-study award. Since this work is supporting early literacy and math skills, the students’ payments are 100% covered by their award. If a student is awarded a smaller work-study award, they may not be able to work for the full term and will notify you at least 2 weeks prior to their end of service. We will calculate student’s maximum hours based on their work-study awards during their program orientation. To learn more about federal work-study, please see this link.
Scheduling: Tutors are not required to work during UW breaks or finals weeks. If your school is still in session during these breaks, your tutor is responsible for communicating with you whether or not they will be there for their shifts.
Tutors are able to work up to 19 hours each week, but most will choose to have a schedule of around 10-12 hours / week.
Memorandum of Understanding
The below language is included in the annual Memorandum of Understanding with Seattle Public Schools each year.
School Partner will provide:

A designated on-site Supervisor at the school placement site who has the capacity to have on-going communication and regular check-ins with the tutor(s) placed at the school. This on-site Supervisor will be a school staff member familiar with the partnership between the school placement site and UW CELE Center and is responsible for providing on-site direction and supervision of the tutor;

Regular and timely communication between the on-site Supervisor and UW CELE staff about updates and progress regarding the tutor(s), and proactively contacting staff regarding any urgent or important matters that may arise;

A regular work schedule to be mutually agreed upon between the tutor(s) and the school site supervisor and provided to UW CELE staff. This schedule may change quarterly as UW course schedules change and can be flexible if mutually agreed upon by the tutor(s) and site supervisor;

On-site supervisors are responsible for providing tutor(s) with clear direction and guidance on tasks as it relates to student support and learning;

On-site supervisors are responsible for confirming each tutor’s timesheet and activity log at the end of each week.

There is no financial obligation for partnership on behalf of the school partner, as 100% of wages are covered by a student’s federal work-study.
UW CELE will provide:

UW CELE’s Program Manager of School Based Internships will serve as the primary contact for both the school placement site and the undergraduate student tutors to facilitate communication between students and school partners, respond to constructive feedback, organize learning opportunities, and address issues or concerns;

UW CELE’s Work-Study Tutoring Coordinator will serve as the secondary contact for both the school placement site and undergraduate student tutor to facilitate communication between students and school partners, respond to constructive feedback, organize learning opportunities, and address issues or concerns in the absence of the Program Manager of School Based Internships;

UW CELE will provide personal and professional training to Work-Study tutors in the form of a half-day orientation before they begin, monthly cohort meetings on content and strategies necessary for their roles and select training in collaboration with other organizations within UW and the greater community. Training topics will be responsive to community and student needs and assets and will include resources and training for skill and career development, equity, and social justice;

UW CELE will promote the position to all eligible undergraduates, interview and select candidates who fit the values of the Work-Study Tutoring Program. UW CELE will be responsible for communicating to tutor candidates regarding their status, and for providing follow up resources and assistance to those students who are not selected;

UW CELE staff will communicate effectively with the on-site Supervisor at the school placement site regarding selected tutors and collaborate to place Work-Study Tutors appropriately;

UW CELE will conduct an evaluation to be completed by the site supervisor at the end of each quarter to provide feedback to tutors.
FAQs
- Do my tutors need to complete a SPS Volunteer Application? No. Work-study Tutors and Seattle Public Schools have an MOU that includes verification of background checks and other details, making it unnecessary for WS tutors to complete a volunteer application. Also, the tutors are all paid = not volunteers!
- Do I need to sign off on hours completed? Yes! This is for accountablity. WS Tutors staff will cross-check the tutor's Google timesheet (sign off by site supervisors) with their UW HR timesheet to verify that hours they are reporting were completed.
- I have multiple UW Tutors on site. How do I know which one is a work-study tutor? WS Tutors will have Google timesheets for you to sign off on, are commited to more than one academic quarter, and will be working at least 6 hours on site. Please also feel free to reach out to the work-study tutors staff if you have any questions.
- Can my work-study tutor do the same type of work as my other UW tutors/volunteers? Usually, yes but not always. Work-study tutors should primarily be doing work that supports academic success in the areas of literacy (K-5th grade) or math (K-9th grade). Work-study tutors are not classroom support staff and should not be doing work outside of academic support.
