Jumpstart Program Assistant (Administration & Supplies Management)

The Program Assistant of Administration & Supplies Management will support the managers with program compliance to AmeriCorps and Jumpstart National policies, data entry and tracking of children's attendance and Jumpstart member timesheets, organizing and managing curriculum supplies, and other general office duties as necessary. PAs also build community with members by facilitating meetings and leading student committees throughout the year.

Description
Program Compliance
- Support recruitment and onboarding of members to reach AmeriCorps member goal (80)
- Maintain all file documentation to ensure member files are kept up-to-date and in compliance with Jumpstart and AmeriCorps requirements
- Assist site staff in child data management (consent forms and attendance in Jstats)
- Update necessary information in Jumpstart National database systems like MyJstart (member training and resource hub), Jstats (child information, assessment and attendance data) and America Learns (member timesheet system)
- Support approval of Jumpstart member timesheets in America Learns and train/support students in timeliness and accuracy of timesheet submissions.
- Conduct mid-year and end-of-year audits in conjunction with the Senior Site Manager to ensure 100% compliance
- Data Entry and Tracking:
- Uphold Jumpstart and AmeriCorps data entry and tracking expectations for: site management data, participant files, training and session attendance, and child data.
- Meetings, Materials Management and Office duties:
- Attend weekly meetings with Jumpstart staff and 1-on-1 check-ins with supervisor
- Host weekly office hours to support CM learning and foster community
- Assist site staff in managing materials inventory, team room organization and cleanliness, and supply ordering
- Assist site staff in adapting Jumpstart elements of Session
- Process mileage reimbursements submitted by members if applicable.
Other duties may include:
- Attending and participating in Jumpstart training and/or community and family engagement events, potential evening hours
- Supporting implementation of Testing for Preschool Early Literacy (TOPEL) in preschool classrooms (dependent on COVID-19 restrictions and guidelines), which requires travel
Required qualifications
- Ability to work 15-19 hours per week
- Comfortable working with Microsoft Office Suite, Google Drives, and willingness to learn specialized database software.
- Strong language and communication skills (written and oral).
- Must have keen attention to detail and be organized to maintain files and meet deadlines.
- Confidentiality is key when working with people and managing sensitive information
- Experience in a leadership role recruiting, training, managing, and supporting groups of people to address community needs through service projects.
- Ability to work well on a team and independently on daily tasks, ask questions when unsure, and to commit to a regular office schedule set on a quarterly basis.
- Have a positive attitude and interest in promoting service and leadership initiatives.
- Ability to work and build relationships with people (especially students and staff members) from diverse ethnic, racial, and socioeconomic backgrounds.
- Willingness to tailor communication to various people based on learning/working strengths and cultural relevance.
- Ability to lead both live and recorded presentations.
- Maturity and good judgment in relating to Jumpstart peers.
- Availability, dependability, and willingness to be flexible.
- Demonstrated ability to solve problems and think strategically.
- Ability to fulfill a year-long program support commitment.
- Ability to lift and move up to 40 lbs. for small distances in office and storage space.
Desired skills and abilities
- Have at least 1 full year of Jumpstart experience

Compensation and employment benefits
- Federal Work Study position; compensation starts at $18.69 per hour.
- Program Assistants will develop stronger written and verbal communication, organizational and time management skills.
- They will also gain leadership experience by facilitating meetings, leading student committees, and receiving ample training in various topics related to leadership and social justice.
